Description

This service allows a customer or its third party, for the perimeter(s) on which they are entitled, to:

  • View the dynamic dashboard summarising the invoicing data.
  • Access invoices, credit notes and reporting for the past 24 rolling months; 
  • Download your billing documents individually or in bulk.
  • Track the payment status of your invoices;
  • Manage invoice notifications;
  • Subscribe to electronic invoices – a feature available to the company administrator.

What you need to know

The access rights of users in your companies to the viewing of private data are configurable by your Services Portal administrator via the "Administration" tab, "Groups" page.

Dynamic dashboard

The dynamic dashboard, which is also the "My Invoices" service home page, is accessible from the Services Portal home page by clicking on the "My Invoices" tab at the top of the page. This table consists of 4 components that update in real time with the latest available billing data:

  1. “Payment Status” component: aggregates the amount of multi-contract invoices according to their payment status excluding "Paid";
  2. "My Recent Invoices" component: lists the last 4 multi-contract invoices received;
  3. "Payment Tracking" component: aggregates invoice amounts on a monthly basis based on payment status by contract type. There is one component per active contract type;
  4. “The Tariff” component: allows access to the RTE document library, available only for CART clients.

What you need to know

If your account is linked to more than one company and establishment, two filters in the upper left corner are available to select the company and establishment for which you wish to view the data.

Accessing invoices, credit notes and reporting

The invoice, credit and reporting table can be accessed from the "My Invoices" service home page by clicking on the title of the "Payment Status" or "My Recent Invoices" components. This table provides the customer with all of its invoicing data and documents over the last 24 rolling months.

The data displayed in this table are as follows:

  • Type of contract;
  • Name of the establishment;
  • Payment status – you can access the payment tracking page by clicking on the payment status tab of an invoice;
  • Date of invoice;
  • Invoice due date:
  • Invoice amount (€ TTC);
  • Invoice number.

The following details are available by clicking the "View" button:

  • Contract label;
  • Type of document;
  • Version of document.

What you need to know

You can filter the invoice, credit and reporting table from the filters located:

On the left side of the page:

  • Company;
  • Establishment;
  • Type of document;
  • Invoice from the month of … to the month of…;
  • Invoice number.

At the top of the table:

  • By payment status: paid, outstanding, not due, partially paid.

Downloading your billing documents

From the invoice, credit and reporting table page, you can download one or more of your billing documents for the past 24 months.

Single download

Customer subscribed to the electronic invoice:

  • By clicking on the download arrow from an invoice, you can download your original invoice;
  • By clicking the "View" button and then the "Download Duplicate" button, you can download the duplicate copy of your invoice.

Customer receiving their paper invoice by mail:

By clicking on the download arrow from an invoice, you can download your duplicate invoice.

Multiple download

  • By clicking on the "Download" button at the bottom left of the filter list, a section with the following two filters comes up: document version and contract type;
  • You can fill in the filters to refine the selection of documents to be downloaded;
  • Once the filters are filled in, the number of downloadable documents is displayed. Clicking on the "Download XX Documents" button starts the download;
  • If the volume of document to download is small, it will download in real time;
  • If the volume of document to download is large, it will download in the background;
  • Once the documents are downloaded, you will receive an email containing a link to retrieve your documents. This link will redirect you to your current downloads page.
  • You can also access your downloads from the invoice, credit and reporting table by clicking on the "My Downloads" button.

What you need to know

Your invoices are available for two years on the Services Portal from the date of issuance. You are responsible for storing your invoices beyond this time.

In the case of a large multiple download, the zip containing your downloaded documents to be retrieved will be available for a period of 7 days. After these 7 days, the zip will no longer be visible on the 'My Downloads' page and if no other downloads are in progress and/or complete, the 'View My Downloads' link will no longer be available.

Tracking payment of invoices

Payment tracking can be accessed from the "My Invoices" service home page by clicking on the "Payment Tracking" or "My Recent Invoices" components. This page provides a histogram by contract type to view cumulative invoices and credit notes by billing month based on payment status. If the number of invoices over the month for a contract type exceeds 8, then the invoices are aggregated according to their payment status.

You can view the details of a section of the histogram by hovering your mouse over it: invoice number, contract label, and remaining amount to be paid.

By clicking on a section of the histogram, you will be redirected to the invoice, credit and reporting table page pre-filtered with the information in the section.

Above each bar in the histogram, the number of sections that make up the bar is shown. If a section is not visible and clickable, you can enlarge it by selecting the desired zone with the mouse. To return to the initial graph, simply click on the "minus" icon at the top right of the graph.

What you need to know

There is no aggregation of data from several contracts or companies.

If your account is linked to more than one company and establishment, three filters in the upper left corner are provided to select the company, establishment, and contract type for which you want to view the data.

Managing notifications

You can manage your notifications from the "My Invoices" service home page. On the left side of the page, you can enable or disable the notification of availability of a new invoice at company level and the notification that one or more unpaid invoices will reach their due date in 5 days.

What you need to know

Activating one of the two notifications automatically initiates the sending of a notification in the event of late payment.

Subscribe to the electronic invoice

The electronic invoice subscription is done at company level from your company's administrator account from the "My Invoices" service dashboard page of the Services Portal.

The electronic invoice allows you to:

  • View and download all your invoices (original and duplicate) free of charge at any time;
  • Help save the environment with paperless billing

If you wish to subscribe but you are not an administrator of your company, contact your administrator to make a request from their account.

What you need to know

In addition to electronic invoicing, you can request automatic sending of your invoices in PDF format to a defined email address. You can request this process with your usual account manager, indicating:

  • The destination email address (usually your billing platform) 
  • The desired file type (original signed PDF or duplicate unsigned PDF)
  • Whether the email address is that of an alternative payer
  • Whether the billing platform belongs to a subcontractor (the destination address is not yours)
